Privacy Policy

This policy explains how information is handled when you use ClearRound Pro, its website and related services. ClearRound Pro is designed to help window-cleaning businesses organise customers, jobs, rounds and business records, and share selected work with workers.

1. Information you enter

Information may include customer names, addresses, postcodes, contact details, property notes and photos; round names and assignments; job types, schedules, service frequencies and prices; quote details; income, expenses, payment status and other business records. You may also add a worker’s name, worker instructions and job updates.

2. Customer information and responsibilities

When a window-cleaning business enters information about its customers, that business decides why and how to use the information and is generally the data controller. ClearRound provides the tools to organise and share it. The business remains responsible for its legal obligations, including providing any required privacy information to customers.

3. Worker sheets and shared links

When you create a worker sheet, the jobs and information you select are made available through an online link so the worker can open them in a mobile browser and submit job updates. Depending on your settings, a sheet may show customer addresses, job instructions, prices or contact details. You choose which jobs and optional details to include.

Anyone who has access to a worker-sheet link may be able to view the information on that sheet until the link expires or is otherwise disabled. Share links only with the intended worker, keep them secure, and avoid including information that is not needed to do the work. Expiry of a link limits access to that shared sheet; it may not delete the underlying customer or job records in your Pro account.

Job statuses and worker notes submitted through a sheet are returned to the business using Pro and may become part of its job records.

4. How information is stored and used

Information is used to provide ClearRound Pro features, including maintaining customer and round records, displaying schedules, producing worker sheets, receiving worker updates, providing support, and maintaining the security and reliability of the service. Pro may use Apple iCloud or CloudKit where those features are available and enabled. Worker-sheet links require online services to create, deliver and receive updates.

Service providers that host, store or deliver Pro features may process information on our behalf to provide those services. We do not sell customer lists or use them for third-party behavioural advertising.

5. Other services you choose to use

If you open an address in a mapping service, send a message or quote, export a CSV file, or purchase through an app store or payment provider, the information necessary for that action may be handled by that provider under its own privacy policy. Check details before sending or exporting, and keep exported files secure.

6. Support information

If you contact us, we may receive your name, email address, message and technical details you choose to provide. We use this information to respond to support requests and operate the service.

7. Retention and deletion

Customer and business records remain available until you change or delete them or remove the relevant app data. Expiring a worker-sheet link is separate from deleting customer or job records. Information may remain in iCloud or other backups according to the applicable provider’s retention and deletion processes. Support records may be retained as reasonably necessary to respond to you, resolve issues or meet legal obligations.

8. Security

We take reasonable steps to protect information used by ClearRound Pro. No digital service can guarantee absolute security. Protect your devices and accounts, use worker-sheet expiry settings, and share links only with the intended people.

9. Your rights

Where data-protection law applies, you may have rights to access, correct, delete, restrict or object to certain processing, or request a copy of your personal information. If your request concerns customer records controlled by a window-cleaning business, contact that business directly. You may also complain to the UK Information Commissioner’s Office at ico.org.uk.

10. Children

ClearRound Pro is a business-management service and is not designed for children.

11. Changes to this policy

We may update this policy when features, providers, legal requirements or our practices change. The date above shows when it was last updated.
