Privacy Policy

ClearRound respects your privacy and is designed to keep the collection and use of personal information to a minimum. This Privacy Policy explains how information is handled when you use the ClearRound mobile application, website and related services.

ClearRound is designed mainly for independent window cleaners and sole traders. Information you enter about your own customers remains your business data, and you remain responsible for using that information lawfully.

1. About ClearRound

ClearRound is a round-management application designed primarily for self-employed window cleaners and sole traders. It can be used to manage customers, addresses, jobs, schedules, charges, payments, money owed, expenses, reports, contact details, property photographs and job notes.

2. Information you enter into ClearRound

You may enter information relating to your customers and your business, including:

This information is entered and controlled by you. You should only enter personal information where you have a lawful reason to hold and use it.

3. Who controls customer information?

If you use ClearRound to store information about your own customers, you remain the data controller for that information. ClearRound provides the software used to organise the information but does not acquire ownership of your customer records.

You remain responsible for your own obligations under applicable privacy and data-protection laws, including the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018.

4. Where your ClearRound data is stored

ClearRound is designed to keep business data associated with your app and Apple device. Where iCloud functionality is enabled, data may be stored or synchronised using Apple's iCloud services and associated with your Apple account. This can allow ClearRound information to be available across compatible devices signed into the relevant Apple account.

Apple's handling of information through iCloud is governed by Apple's own privacy policies and terms.

5. iCloud backup and synchronisation

ClearRound may use Apple iCloud and CloudKit technologies to synchronise data between your devices, restore data to another compatible device and help protect against loss of locally stored app information.

Availability may depend on your Apple ID, iCloud settings, available storage, device settings and Apple's services. You are responsible for maintaining appropriate backups of important business information.

6. Importing and exporting information

ClearRound may allow you to import or export business information, including using CSV files. Exported files may contain personal data relating to your customers. Once you export a file, you are responsible for keeping it secure.

You should take appropriate precautions when emailing, storing, uploading, transferring or sharing exported files. ClearRound cannot control how exported information is handled once it has left the application.

7. Payments made by your customers

ClearRound may allow you to take payments from customers using payment services provided by Stripe, including supported in-person payment functionality. Payment information may be transmitted directly to Stripe and associated payment networks.

ClearRound does not store full customer debit or credit card numbers. Stripe may process payment card information, transaction amounts, payment identifiers, device information, fraud-prevention information and other information required to complete and verify a transaction. Stripe processes this information according to its own privacy policy and legal obligations.

ClearRound may retain business records relating to a transaction, such as the amount, date, payment method and whether an amount has been paid or remains outstanding.

8. Apple purchases and subscriptions

If you purchase a ClearRound subscription through the Apple App Store, the transaction is processed by Apple. ClearRound does not receive your complete payment-card information from Apple.

Apple may provide information necessary to determine whether a subscription or purchase is active, expired, cancelled or otherwise entitles you to paid features. Apple's processing of account and payment information is governed by Apple's own privacy policy.

9. Communications with customers

ClearRound may provide shortcuts that allow you to contact customers using information stored in the application, for example by SMS, email, telephone or payment reminder. These communications may be handled by applications or services installed on your device.

You are responsible for ensuring communications you send comply with applicable laws, including rules concerning marketing communications where relevant.

10. Navigation and mapping

ClearRound may allow you to open customer addresses in mapping or navigation applications such as Apple Maps or Google Maps. When you choose to do this, information necessary to locate the address may be passed to that third-party service, whose own privacy policy will apply.

11. Device permissions

Some ClearRound features may request access to device functionality such as photographs or the camera, mapping functionality, communication functions, Face ID or device authentication, and files used for import and export. Permissions are requested only where relevant to a feature and can be reviewed or changed in iOS or iPadOS settings.

12. Photographs

You may choose to add a photograph relating to a customer or property. Photographs are optional. You are responsible for ensuring you have an appropriate reason or permission to take and retain photographs containing personal information and should avoid storing unnecessary personal or sensitive information.

13. Face ID and device authentication

ClearRound may allow you to protect access using Face ID, Touch ID or your device passcode. Biometric authentication is performed by Apple's operating system. ClearRound does not receive or store your facial image, fingerprint or biometric template and is normally informed only whether authentication succeeded or failed.

14. Information we may receive about you

We may receive limited information when you contact us for support, report a problem, provide feedback or communicate with us about your subscription. This may include your name, email address, the contents of your message and technical information you choose to provide. We use this information to respond to enquiries and provide support.

15. Analytics and tracking

ClearRound does not use third-party advertising trackers or behavioural advertising systems to monitor your activity across other companies' apps or websites. We do not sell personal information to advertisers.

If limited diagnostic or analytics services are introduced in the future, this Privacy Policy will be updated where necessary.

16. Advertising

ClearRound does not sell your customer data for advertising purposes. Information entered about your customers is not used by ClearRound to advertise products or services to those customers.

17. Why personal information is processed

Where ClearRound itself is the controller of personal information, information may be processed where necessary to provide the service you have requested, for legitimate interests such as operating and securing ClearRound and responding to support requests, to comply with legal obligations, or with consent where consent is the appropriate lawful basis.

18. How long information is kept

Information entered into ClearRound generally remains available until you edit or delete it, remove application data or otherwise remove the information. Information synchronised through iCloud may remain within your Apple iCloud account according to Apple's storage and deletion processes.

Information exported from ClearRound remains wherever you choose to store the exported copy. Support communications may be retained for a reasonable period where needed to handle enquiries, resolve disputes or meet legal obligations.

19. Deleting information

You can edit or delete customer and transaction information using controls available within ClearRound. You may also be able to remove application information through your Apple device or iCloud settings. Deleting the application from one device does not necessarily delete information that has been synchronised or backed up to iCloud.

20. Your data-protection rights

Where UK data-protection law applies and ClearRound itself is responsible for processing your personal information, you may have rights including access, correction, deletion, restriction, objection, data portability and withdrawal of consent where processing is based on consent. These rights are subject to applicable conditions and exemptions.

If your request relates to information stored by a window cleaner or other business using ClearRound, you should normally contact that business directly because it is the controller of its customer records.

21. Security

We take reasonable measures to design ClearRound in a way that protects user information. These measures may include Apple's application sandboxing and device security, optional device authentication, iCloud security, minimising unnecessary data transmission and using established payment providers rather than storing full card information ourselves.

No digital storage system can guarantee absolute security. Users should protect their devices with an appropriate passcode and maintain the security of their Apple account.

22. International transfers

Some third-party providers used by ClearRound, including Apple and Stripe, operate internationally. Information processed by those providers may therefore be processed outside the United Kingdom. Those providers are responsible for using appropriate safeguards where required by applicable data-protection law.

23. Third-party services

ClearRound may interact with services provided by other organisations, including Apple for the App Store, iCloud, CloudKit and device authentication; Stripe for customer payments; mapping applications such as Apple Maps or Google Maps; and email or messaging applications used to contact customers. Those organisations have their own privacy policies, which apply when you use their services.

24. Children's privacy

ClearRound is a business-management application and is not designed for use by children. We do not knowingly collect personal information directly from children through ClearRound for marketing purposes.

25. Sale of personal information

ClearRound does not sell personal information and does not sell customer lists entered into the application.

26. Changes to this Privacy Policy

We may update this Privacy Policy when ClearRound's features change, new service providers are introduced, legal requirements change or our privacy practices change. The latest version will be made available on the ClearRound website, and the date at the top shows when it was most recently updated.

27. Complaints

If you have concerns about how personal information is handled, please contact ClearRound first. You may also have the right to complain to the UK Information Commissioner's Office (ICO), the UK's data-protection supervisory authority.
